Paper Submission Guidelines
The IEEE CBMI 2026 conference accepts 4 types of contributions:
- Full Regular Papers, describing novel ideas and results that are relevant to the conference topics.
- Short Regular Papers, describing novel ideas and results that are relevant to the conference topics.
- Special Session Papers, describing novel ideas and results that must be relevant to one of our advertised special sessions.
- Demonstration Proposals, giving an overview of new and interesting software, method or experience that can be demonstrated on-site and are relevant to the conference topics.
Paper Formatting Instructions
The conference proceedings will be published by IEEE. All submitted papers must conform to the IEEE manuscript templates for conference proceedings and the instructions it provides. On the IEEE website you will find both instructions and templates for Microsoft Word and LaTeX, as well as an Overleaf link.
Submissions must strictly obey the following page limits, where the main body of the submission includes all figures, tables and appendices, while one additional page is provided for references:
- Full Regular Papers: maximum of 6 pages + 2 pages for references
- Short Regular Papers: maximum of 4 pages + 2 pages for references
- Special Session Papers: maximum of 6 pages + 2 pages for references
- Demonstration Proposals: maximum of 4 pages + 2 pages for references
Authors of high-quality papers accepted to the conference may be invited to submit extended versions of their contributions to a special journal issue in MTAP.
Author Information
IEEE CBMI 2025 will be an on-site event. Each contribution (regular, special session or demonstration proposal) must be associated with one full conference registration and at least one author is expected to present their work on-site, during the conference.
Note: The author lists must be finalised during the submission process as we will not accept any changes nor additions to the author list after the initial submission deadline.

Once ready (correctly formatted, within the page limit and with the correct author information), papers are to be submitted using ConfTool via: https://www.conftool.pro/
Final Version Submission Guidelines
Step 1: Prepare the Final Manuscript
- Revise your paper based on reviewer feedback.
- Use the official IEEE conference template.
- Ensure that authorship information and affiliations are correct.
Step 2: Generate an IEEE Xplore-Compatible PDF
You must use IEEE PDF eXpress to ensure your file meets IEEE Xplore standards.
Instructions:
- Go to IEEE PDF eXpress.
- Create an account (if new) by clicking “New Users – Click Here”.
- Enter the Conference ID: XXXXXX.
- Upload either:
- Your source files (e.g., .doc, .docx, .tex) for conversion, or
- Your self-generated PDF to check compliance.
- Within minutes, you’ll receive a compliant PDF via email.
Important: PDFs not processed via PDF eXpress will not be accepted.

Step 3: Submit the IEEE Electronic Copyright Form
- Log in to ConfTool and go to Overview → Your Submissions.
- Click on your paper title and verify:
- The title and authors match exactly with your final paper.
- Click on “Electronic Copyright Form” (right side).
- Follow the IEEE instructions, answer all prompts, sign the form, and press “Done”.
- You will receive confirmation from IEEE; the form will be marked as signed in ConfTool.
Step 4: Upload Final PDF to ConfTool
- Return to ConfTool → Your Submissions.
- Click “Final Upload” next to your paper.
- Upload the PDF file validated by IEEE PDF eXpress.
